About the Role

KARAFU Enterprises Limited is an expanding retail and distribution company operating outlets such as Coastmart Supermarket in Kibaha, Pwani. The company is seeking an experienced Procurement Representative to oversee supplier partnerships, streamline order approvals, maintain inventory levels across stores, and optimize procurement expenditure through strategic negotiation and market analysis.

Key Responsibilities

1. Sourcing, Vendor & Relationship Management

Supplier Discovery: Identify profitability-driven suppliers and establish strong commercial partnerships with external vendors.
Negotiation: Negotiate pricing, payment terms, and delivery schedules to secure cost-effective and advantageous terms.
Vendor Performance: Monitor vendor reliability and manage third-party supplier relationships.

2. Purchasing, Documentation & Stock Control

Order Authorization: Approve and finalize purchase orders, delivery details, and procurement commitments for required goods and services.
Document Processing: Draft and verify operational procurement documents, including Goods Receiving Notes (GRN).
Inventory Coordination: Monitor stock levels closely and coordinate with store supervisors and relevant internal departments to prevent stockouts.

3. Cost Management, Planning & Analytics

Cost Control: Implement spend management strategies to build a company culture of long-term savings on procurement costs.
Procurement Planning: Prepare annual procurement plans and submit comprehensive procurement analytical reports to management.
Data Analysis: Collect, evaluate, and analyze market data and inventory turnover trends to inform purchasing decisions.

Qualifications & Requirements

Education & Experience

Education: Diploma or Bachelor’s Degree in Procurement and Supply Chain Management, Logistics, or a related discipline.
Experience: At least 2 years of practical working experience as a Procurement Officer, Purchasing Representative, or similar role within a trading, commercial, or retail environment.

Key Competencies & Skills

Negotiation & Sourcing: Proven talent in commercial negotiation, supplier networking, and sourcing techniques.
Data & Analytics: Experience in collecting, analyzing, and interpreting supply chain and pricing data.
Leadership & Organization: Strong leadership capabilities, high attention to detail, and sound operational decision-making skills.
