Job Overview
ActionAid Tanzania (AATZ), an affiliate member of the ActionAid International Federation working to alleviate poverty and social injustice, is seeking a qualified, self-motivated young professional for the role of Executive Coordinator. Based at the Head Office in Dar es Salaam and reporting directly to the Country Director, the Executive Coordinator will provide high-level administrative, governance, and operational support to the Country Director, Board of Directors, General Assembly, and Senior Management Team (SMT).

Key Responsibilities
-
Executive & Travel Administration: Manage the Country Director’s calendar, travel itineraries, appointment scheduling, incoming/outgoing correspondence, and visa applications in coordination with HR and Administration.

Governance & Board Support: Serve as the primary focal point for Board and General Assembly engagements; attend all meetings, produce accurate minutes, track governance decision points, maintain official communication records, and advise the Board on legal/governance processes.

Senior Management Team (SMT) Coordination: Develop the SMT meeting calendar, organize meetings, take and circulate official minutes, and systematically track the implementation of SMT action points.

Budget & Financial Oversight: Manage the Country Director’s office budget in collaboration with the Finance Department, including expenditure tracking, monitoring, and reviewing management accounts.

Front Desk & Operations: Direct reception and front-office operations, manage organizational information dissemination to Programme Areas and field staff, and ensure a presentable, professional reception environment.
Qualifications & Requirements

Education: Bachelor’s Degree in Public Administration, Business Administration, Management, Governance, Secretarial Studies, Office Administration, Law, Public Relations, International Relations, or a related field.

Advantage: A Master’s Degree or professional certification in Management, Governance, Administration, Corporate Governance, or Law is an added advantage.

Work Experience: Minimum of 5 years of hands-on experience in executive coordination, Board/committee secretariat support, or senior office administration, preferably within an NGO or international development organization.

High proficiency in executive secretariat operations, professional minute-taking, and high-level report writing.

Strong knowledge of governance frameworks, Board management processes, and administrative compliance.

Exceptional stakeholder engagement, interpersonal, and team collaboration capabilities.

High level of discretion, integrity, and sound judgment when handling confidential executive data.

Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint).
