Assistant Administration & HR Officer

Reports to: Operations/Admin & HR Manager

Job Purpose

To provide administrative and human resource support by coordinating office operations, assisting in workforce administration, maintaining employee records, supporting management activities, and ensuring efficient day-to-day business operations in compliance with company policies and labour regulations.

Key Responsibilities

Administration

  1. Assist in the day-to-day office operations and administrative activities. 
  2. Coordinate office activities to ensure efficiency and compliance with company policies and procedures. 
  3. Assist management in coordinating daily staff work schedules, duty rosters, and shift assignments. 
  4. Manage office correspondence, including emails, letters, courier services, and telephone communications. 
  5. Organize meetings, prepare meeting agendas, take minutes, and follow up on action items. 
  6. Coordinate travel arrangements, accommodation, appointments, and official company events. 
  7. Prepare reports, presentations, proposals, and other administrative documents as assigned. 
  8. Maintain an organized filing system and document control for administrative and legal records. 
  9. Monitor office inventories, supplies, equipment, and facility requirements, ensuring timely procurement and maintenance. 
  10. Support departmental budgeting and maintain administrative expenditure records where required. 

Human Resource Management

  1. Assist in recruitment, interviews, onboarding, orientation, and employee induction. 
  2. Maintain employee records, contracts, confidential personnel files, and HR databases. 
  3. Assist in payroll preparation by compiling attendance, overtime, leave, and other payroll information. 
  4. Coordinate employee attendance, leave administration, duty schedules, and shift changes. 
  5. Support employee welfare programs and HR communication activities. 
  6. Assist in disciplinary procedures and ensure compliance with company policies. 
  7. Ensure compliance with labour laws, company regulations, and statutory requirements. 

Performance & Reporting

  1. Maintain and monitor employee Key Performance Indicators (KPIs). 
  2. Coordinate employee performance appraisal activities and maintain performance records. 
  3. Compile monthly, quarterly, and annual HR reports for management. 
  4. Assist during internal and external audits by preparing HR and administrative documentation. 

General Support

  1. Provide administrative support to senior management and department heads. 
  2. Assist colleagues and other departments whenever required. 
  3. Perform any other duties assigned by  Management. 
Required Qualifications
  • Bachelor’s Degree in Human Resource Management, Business Administration, Law, or a related field. 
  • Minimum 1 years’ experience in administration or human resource management (preferred). 
  • Knowledge of labour laws and HR best practices. 
  • Excellent communication, organizational, and interpersonal skills. 
  • Ability to maintain confidentiality and exercise sound judgment. 
  • Strong planning, multitasking, and problem-solving skills.
