Major Finance responsibilities
- Preparation of monthly and quarterly financial reports timely and accurately and providing the Project
- Manager with information for decision making purposes.
- Prepare annual and supplementary project budgets and revisions in accordance with program implementation plan.
- Monitoring of project budget and expenditures to ensure activities are implemented within the approved budget.
- Custodian of cheque books and other sensitive finance documents.
- Manage all balance sheet accounts including Travel and program advances issued to staff as per the finance policy. Review of staff retirements for accuracy and validity of receipts and ensure that they are properly recorded into the system.
- Processing of payments as per AKF policies and Procedures and Donor rules and regulations
- Ensuring all financial transactions are timely and accurately posted in the accounting system for purposes of generating Project financial reports
- Ensure timesheets are completed and filed in a timely manner.
- Facilitate internal and external audits.
- Prepare monthly funding request for the program and follow up with the country office to ensure that funds are received on time.
- Maintaining an accurate filing system of all payments and other finance documents
- Ensure compliance with donor rules and regulations and all statutory requirements.
- Preparation of monthly bank reconciliation statement for project’s bank account.
- Any other duties assigned to you from time to time by your supervisor.
Admin Responsibilities
- Conduct procurements within policy and according to agreed standards, timeliness and quality.
- Manage the day-to-day administration of the offices in line with the administrative policies and procedures.
- Proactively conduct negotiations with suppliers and vendors to secure value-for-money in procurements are done in a transparent manner and maintain appropriate relationships with suppliers that exemplify the highest standards of accountability and credibility.
- Maintenance and manage procurement and supplier’s database that tracks the progression of all purchases and suppliers.
- Custodian of all procurement records and maintained for office expenditures, receipts, purchase orders and
- Quote evaluation etc. according to AKF Tanzania and donor policies.
- Ensure fixed assets are properly managed and fixed asset register is maintained and is up to date.
- Any other duties assigned by the supervisor that intends to improve the quality of the life for the community we support.
Knowledge and Skills
- A bachelor’s degree in accounting or its equivalent with strong analytical skills.
- Professional qualification – CPA or ACCA or CIMA will be an added advantage.
- Minimum of 3 years working experience preferably with a Non-governmental Organization (NGO) dealing with multiple donor funds.
- Competent in the use of MS Office software (Excel, Word, Access, PowerPoint, etc and any other accounting software).
- Excellent written and verbal communication skills – proficiency in English and Kiswahili is mandatory.
- Self-motivated, good organization and management skills including a demonstrated ability to prioritize workloads.
- Ability to work with multiple tasks, demands and deadlines, with a positive and constructive attitude under minimal supervision.
- Able to work both independently and within a team, in person and remotely
- Able to learn from and adapt to complex situations, with a problem-solving and open-minded attitude.
- An unwavering commitment to the safeguarding of others, particularly those in vulnerable situation.
