Job Purpose
The accountant is responsible for managing the financial records, loan accounting, regulatory compliance, tax obligations, and internal control systems of Join Us Microfinance Limited. The role ensures that all financial transactions are accurately recorded, financial reports are prepared timely, and the company complies with regulatory requirements issued by the Bank of Tanzania and the Tanzania Revenue Authority.
Key Duties and Responsibilities
- Accounting and Financial Management
- Maintain accurate accounting records for all company financial transactions.
- Record loan disbursements, loan repayments, and interest income in the accounting system.
- Prepare monthly, quarterly, and annual financial statements.
- Maintain the general ledger and ensure proper classification of accounts.
- Monitor loan portfolio balances and reconcile them with the loan management system.
- Record interest income, loan processing fees, and penalty charges.
- Maintain fixed asset register and record depreciation.
- Prepare bank reconciliation statements monthly.
- Maintain proper documentation for all financial transactions.
- Loan Accounting and Portfolio Management
- Record loan disbursements and repayments accurately.
- Reconcile loan portfolio records with the loan management system.
- Monitor loan aging and identify overdue loans.
- Calculate and record loan loss provisions based on company policy.
- Prepare loan portfolio performance reports.
- Assist management in monitoring credit risk and loan performance.
- Tax Compliance and Statutory Obligations
- Ensure compliance with tax regulations administered by the Tanzania Revenue Authority.
Responsibilities include:
- Preparation and filing of PAYE returns.
- Preparation and filing of withholding tax returns.
- Preparation of Skills Development Levy (SDL).
- Preparation of corporate income tax computations.
- Ensuring timely tax payments to avoid penalties.
- Maintaining proper tax documentation and records.
- Coordinating tax audits and responding to tax queries from TRA.
- Regulatory Compliance
Ensure compliance with regulations issued by the Bank of Tanzania governing microfinance institutions.
Responsibilities include:
- Preparation and submission of regulatory financial reports.
- Ensuring compliance with microfinance regulatory requirements.
- Monitoring capital adequacy and liquidity requirements.
- Supporting preparation of reports required by BOT.
- Maintaining documentation required for regulatory inspections.
- Internal Controls and Risk Management
- Ensure implementation of strong internal control procedures.
- Verify that all loan approvals follow proper authorization procedures.
- Ensure segregation of duties between loan approval, disbursement, and recording.
- Perform periodic reconciliation of cash, bank, and loan balances.
- Monitor daily cash collections and deposits.
- Investigate financial discrepancies and irregularities.
- Assist in internal and external audits.
- Ensure proper safeguarding of company assets.
- Operations and Cash Management
- Monitor daily cash collections from loan officers.
- Ensure timely banking of all cash collections.
- Review and verify expense claims and supporting documentation.
- Process supplier payments and staff reimbursements.
- Maintain petty cash and perform regular petty cash reconciliations.
- Support branch operations by ensuring proper financial reporting.
- Reporting and Financial Analysis
- Prepare monthly management accounts.
- Prepare loan performance reports for management.
- Monitor operational expenses and budget performance.
- Provide financial analysis to support management decision-making.
- Prepare financial reports for board meetings and management reviews.
- Audit and Compliance
- Assist in preparation of financial statements for audit.
- Coordinate with external auditors during annual audits.
- Provide financial documentation required by auditors.
- Implement recommendations from internal and external audits.
- Record Keeping and Documentation
- Maintain proper filing of financial documents.
- Ensure accounting records are properly archived.
- Maintain loan files and financial documentation.
- Ensure compliance with document retention policies.
- Other Responsibilities
- Assist management in improving financial systems and processes.
- Support development of financial policies and procedures.
- Train staff on financial procedures where necessary.
- Perform any other duties assigned by management.
Key Skills and Competencies
- Strong knowledge of accounting principles and financial reporting.
- Knowledge of microfinance operations and loan portfolio management.
- Understanding of tax regulations and statutory compliance.
- Knowledge of regulatory requirements for microfinance institutions.
- Strong analytical and problem-solving skills.
- High level of integrity and attention to detail.
- Good knowledge of accounting software and Excel.
Qualifications
- Bachelor’s Degree in Accounting, Finance, or related field.
- Professional qualification such as CPA (T) will be an added advantage.
- Minimum 3 years’ experience in accounting or microfinance operations.
- Knowledge of financial systems such as accounting software or loan management systems.
