Context and Environment

The Supply Back Office Officer will operate in a complex and highly regulated market environment. The role requires strong accuracy, discipline, and coordination due to the nature of petroleum supply operations and the financial value involved in documentation and stock management.

Key working conditions include:

  • A complex market with various regulations, a constrained supply system, and numerous Oil Marketing Companies (OMCs).
  • Imports are planned two to three months in advance, requiring accurate forecasts and reliable planning.
  • Regular interaction with suppliers, customers, Tanzania Revenue Authority (TRA), Petroleum Bulk
  • Procurement Agency (PBPA), and internal staff during document processing.
  • Some stakeholders may be less cooperative, requiring patience, follow-up, and professional communication.
  • High concentration is required to ensure the correctness of all documents, as they involve significant financial payments.
  • Most duties are tied to strict deadlines, requiring strong time dedication and attention to detail.

Key Activities and Responsibilities

HSEQ Responsibilities

  • The successful candidate will support health, safety, environment, and quality requirements by ensuring compliance with company and regulatory standards.

Responsibilities include:

  • Applying Safety Management Systems in daily operations.
  • Ensuring quality control of products in line with Tanzania quality specifications as required by the
  • Tanzania Bureau of Standards (TBS).
  • Supply Back Office Activities
  • The Supply Back Office Officer will be responsible for supporting supply back-office operations, stock monitoring, reporting, documentation, and coordination with internal and external stakeholders.

Key responsibilities include:

  • Support the implementation of supply back-office procedures, processes, and related projects.
  • Monitor system stock movements and ensure alignment with physical stock records.
  • Manage Lynks site activities, including compliance, usage, and coherence actions.
  • Monitor fuel stock levels for local, transit, and hospitality customers using the company’s fuel inventory management tool.
  • Coordinate with fuel depots to update and reconcile stock data in line with daily reconciliation KPIs.
  • Process and coordinate orders for hospitality and transit customers while ensuring accurate records and proper approval alignment.
  • Perform data entry and system maintenance for the supply inventory management tool covering both physical and system stocks.
  • Prepare daily and monthly reports on fuel stock levels, consumption rates, and deliveries in coordination with the Dispatch team.
  • Support invoice payment and processing by verifying records with suppliers and hospitality customers.
  • Support transit and hospitality cost build-up and invoicing process implementation.
  • Ensure timely and accurate preparation of memos for product posting and reception in line with KPIs.
  • Manage documents, maintain contracts, and ensure compliance with company rules and requirements.
  • Support due diligence and customer account registration processes for all suppliers and hospitality customers.
  • Manage hospitality billings and income collection as per the annual budget.
  • Ensure timely payments in line with KPIs.
  • Conduct market intelligence activities to support the growth of the hospitality business.
  • Align with suppliers to position the company’s site as a depot of reference for hospitality services.
  • Ensure timely, reliable, and accurate reporting for all assigned activities.
  • Maintain proper file saving, confidentiality, and document control.
  • Add value by regularly proposing improvements in file management and topic management.
  • Perform any other task related to the section as assigned by the supervisor.

Candidate Profile

  • The ideal candidate should have strong business, logistics, systems, and analytical skills, with the ability to work accurately under pressure and meet strict deadlines.

Required qualifications and skills include:

  • Bachelor’s degree in a business-related field.
  • At least 5 years of work experience.
  • Strong systems knowledge and IT skills.
  • Excellent command of Microsoft packages.
  • Advanced Excel skills are an added advantage.
  • Coding and analytics skills are an added advantage.
  • Knowledge of customs processes and procedures related to the importation of petroleum products.
