Responsibilities:
Payroll Processing:
- Manage the end-to-end payroll process, including collecting, calculating, and entering payroll data accurately and timely.
- Ensure compliance with all applicable laws and regulations regarding payroll processing.
- Handle payroll inquiries and discrepancies from employees in a professional and timely manner.
- Maintain accurate and confidential payroll records for all employees.
- Update employee information in the payroll system as needed, including changes in job titles, pay rates, and personal information.
- Stay updated on changes in payroll laws and regulations.
- Prepare and file tax reports and payments accurately and timely.
- Develop and maintain internal controls to ensure accuracy and prevent fraud in payroll processing.
- Conduct regular audits of payroll records and processes.
Benefits Management:
- Administer and oversee all staff benefits programs, including health insurance, retirement plans, airtime and phone allocation, fuel cards management, and other employee perks.
- Ensure timely enrollment, changes, and terminations of employee benefits.
- Serve as the primary point of contact for employees regarding benefits-related inquiries and issues.
- Collaborate with benefit providers and vendors to resolve any discrepancies or concerns.
Data Analysis: - Conduct regular data analysis on payroll and benefits-related information to identify trends, discrepancies, and areas for improvement.
- Prepare reports and presentations summarizing key findings and recommendations for management review.
- Utilize analytical tools and software to streamline data processing and improve efficiency.
- Compliance and Reporting:
- Stay updated on relevant laws, regulations, and industry standards related to payroll processing and employee benefits.
- Ensure compliance with all statutory requirements and internal policies regarding payroll and benefits administration.
- Prepare and submit required reports to regulatory agencies as necessary.
Knowledge and Experience
- A minimum of five (5) years’ experience as an Executive Assistant or similar role supporting senior executives
- Bachelor’s degree in Accounting, Finance, Human Resources, or related field.
- Proven experience in payroll processing, benefits administration, and data analysis.
- Strong understanding of payroll laws, regulations, and best practices.
- Proficiency in payroll software and MS Office applications, especially Excel, visio & power point
- Excellent analytical and problem-solving skills.
- Attention to detail and accuracy in data entry and analysis.
- Ability to communicate effectively with employees at all levels.
- Certified Payroll Professional (CPP) certification is a plus.
