Context & Environment
This role operates within a dynamic and demanding business environment characterized by evolving economic conditions and high employee expectations. The position requires frequent interaction with external agencies and regulatory authorities, particularly in relation to expatriate staff compliance. The role involves managing multiple priorities under strict deadlines and therefore demands strong organizational, coordination, and time-management skills.
Key Activities & Responsibilities
HR Administration & Records Management
- Maintain accurate and up-to-date employee records (both hard and soft copies), including contracts, job descriptions, policies, MOUs, correspondence, and personnel files.
- Conduct routine audits of staff files to ensure completeness, accuracy, and compliance with internal audit guidelines.
- Manage document control processes, including versioning, secure storage, retention schedules, and data confidentiality.
- Prepare HR correspondence, track approvals through digital tools, and maintain HR filing systems and registers.
Recruitment & Onboarding Support
- Provide administrative support throughout recruitment processes, including interview scheduling, documentation control, candidate logistics, and reporting.
- Review new-hire documentation for completeness and compliance with audit requirements.
- Coordinate onboarding logistics such as workstation readiness, IT access, and induction materials.
- Organize and conduct initial orientation sessions, ensuring policy acknowledgment and compliance.
Employee Relations & Engagement
- Respond professionally and discreetly to employee inquiries related to HR policies, rules, and procedures.
- Support disciplinary and grievance processes through documentation preparation, scheduling, and minute-taking.
- Coordinate employee wellness initiatives and engagement activities, tracking participation and outcomes.
Training & Development
- Organize HR projects such as meetings, workshops, surveys, and accurately record minutes and action points.
- Administer training and development programs, liaise with external training providers, and maintain training records.
Payroll, Benefits & Compliance Support
- Assist with payroll preparation by organizing and validating inputs such as new hires, changes, overtime, and deductions.
- Support benefits administration, including medical insurance updates, group life assurance, staff lists, and age-band tracking.
- Coordinate with statutory and regulatory bodies such as TRA, WCF, PSSSF, NSSF, Immigration, and other authorities to ensure compliance.
- Support expatriate administration under supervision, including work and residence permits and statutory returns.
- Track statutory compliance calendars, renewals, and audits, escalating risks proactively.
HR Systems, Reporting & Logistics
- Maintain accuracy of HRIS data related to employee movements, leave, training, and disciplinary records.
- Prepare monthly HR dashboards and reports covering headcount, movements, leave, training, and welfare metrics.
- Provide administrative support for HR-related supplies, vendors, and service coordination.
- Manage HR inventories including induction kits, ID cards, and training materials.
- Support graduate trainee and internship programs, including placements, evaluations, and reporting.

- Uphold professional ethics, confidentiality, data privacy, and quality standards in all HR activities.
Qualifications
- Bachelor’s Degree in Human Resources Management, Public Administration, Industrial Relations, or a related field.
- Eligible to work in the United Republic of Tanzania.
Skills & Competencies
- Strong written and verbal communication skills.
- Sound understanding of HR principles and Tanzania labour laws.
- Excellent organizational and time-management skills.
- Computer literacy with strong proficiency in Microsoft Word, Excel, and PowerPoint.
- Good interpersonal, listening, and customer-service skills.
- Strong analytical and problem-solving abilities.
- Prior exposure to an HRMIS will be an added advantage.
- High integrity, attention to detail, and ability to work independently.
