The Digital Asset Management Specialist is responsible for maintaining accurate, secure, and audit-ready records of all digital and IT assets across the organization. The role ensures effective asset discovery, onboarding, lifecycle management, and access governance by enforcing standardized processes, leveraging automated tools, and supporting compliance with internal policies and industry standards
Responsibilities
1. Asset Discovery
- Enable automated discovery tool OpManager as the primary solution for asset detection across the IT environment.
- OpManager continuously performs network scans, SNMP polling, and agentless monitoring to identify all active servers and devices.
- The discovery results are reconciled against the asset inventory maintained in Asset Explorer to ensure accuracy and completeness.
- Where automation is not feasible, manual reconciliations are conducted to compare OpManager’s discovery data with the assets onboarded in Asset Explorer.
- Any discrepancies identified are promptly investigated, and missing assets are onboarded into Asset Explorer with full lifecycle details to maintain compliance and governance standards.
2. Onboarding
- Enforce workflow: no deployment until asset record exists.
- Use automated discovery tools (Op manager) to detect new assets and respectively onboard them.
- Validate mandatory fields during onboarding.
3. Inventory Ownership
- Configure Asset Explorer to enforce the “Owner” field as a mandatory attribute during onboarding and throughout the asset lifecycle.
- Asset owners are responsible for ensuring accurate onboarding, timely lifecycle updates, and proper offboarding of their systems.
4. Data Model
- Map Asset Explorer fields to the common data model (e.g., type, serial number, location, lifecycle status, owner).
- Configure mandatory attributes so incomplete records cannot be saved.
- Document and seek approval for deviations.
5. Data Quality
- Schedule quarterly data quality reviews.
- Use Asset Explorer reports to flag missing or inconsistent fields.
- Assign responsibility for data quality checks to asset owners.
6. In-Life Management
- Integrate Asset Explorer with change management processes so any change triggers an asset record update.
- Require owners to update records during lifecycle events (patching, upgrades).
- Schedule monthly reconciliations between production and inventory.
7. Decommissioning
- Define decommissioning workflow in Asset Explorer.
- Update lifecycle status to “Decommissioned” before disposal.
- Retain records per retention policy and attach disposal certificates.
8. Information Access Restriction
- Implement role-based access control (RBAC).
- Restrict updating rights to asset managers only.
- Apply least privilege principle.
9. Review of User Access Rights
- Enable automated user access reviews using the WISEMAN tool to strengthen governance and compliance.
- Conduct reviews monthly to ensure timely detection of inactive or unauthorized accounts.
- WISEMAN generates automated reports that are reconciled against system access records, and any discrepancies are promptly addressed by removing or adjusting accounts as required.
- All reviews and approvals are documented and retained as audit evidence to demonstrate compliance with access control policies.
Must Have
- Bachelor’s degree in Information Technology, Cyber Security, Computer Science, Information Systems, or a related field.
- 3+ years’ experience in IT Asset Management (ITAM), IT Operations, or IT Service Management (ITSM).
- Hands-on experience with IT asset discovery and inventory tools, such as:
- OpManager (or equivalent monitoring tools)
- Asset Explorer (or similar ITAM platforms)
- Practical experience in:
- Asset onboarding and lifecycle management
- Manual and automated reconciliation of asset inventories
- Enforcing mandatory asset data fields and ownership
• Working knowledge of ITIL-based processes, particularly:
- Asset Management
- Change Management
- Access Management
- Experience applying Role-Based Access Control (RBAC) and least privilege principles.
- Ability to conduct regular data quality and access reviews and document outcomes for audit purposes
Nice to have
• Professional certifications such as:
- ITIL Foundation or higher
- ISO/IEC 27001 (Foundation, Lead Implementer, or Lead Auditor)
- IT Asset Management or ITSM tool certifications
- Experience working in a telecom, ISP, financial, or highly regulated environment.
Hands-on experience integrating ITAM tools with:
- Change Management systems
- Monitoring and discovery platforms
- Exposure to automated user access review tools such as WISEMAN or similar IAM/GRC solutions.
- Experience managing asset decommissioning workflows, retention policies, and disposal documentation.
