Job Description
Program Management
- Assist Program Manager in Designing, Planning and Implementing strategy and campaigns for Women in Leadership Programs
- Actively participate in relevant scheduled and ad hoc Skype/zoom calls organized by and any other key partners and provide updates on lessons and important follow up from the same
- Organizing meetings, seminars, workshops, and special lectures; including the development of agenda, coordination of logistics, correspondences, speakers, press and invitees, itinerary as appropriate,
- Write and send press releases, write seminar/meeting/workshop reports
- Assist Program Manager in developing proposals for fundraising,
- Prepare and actively represent WIMA in various networks, forums and international conferences to share WIMA’s work
Reporting
- Develop monthly and Quarterly reports and participate in annual report writing
- Provide quarterly bulletin on quick wins gained and key issues to be aware of in a quarter that follows
- Develop Quarterly website updates on quick wins or major breakthroughs in advocacy and community sensitization,
- Plan and prepare respective donor reports for review by the Program Manager
- Maintain appropriate and smart filing for advocacy portfolio in both soft and hard copy
- On a monthly basis, update the Gantt chart by showing the implementation status of activities
Networking:
- Maintain contacts of key Government, Parliament and partners who matter for Gender or Women Leadership
- Identify and work with advocacy partners and nurture relationships for Gender impact,
- Identify and maintain contacts with insiders within Government departments which directly or indirectly deal with Gender or women leadership issues.
- Identify new forums that the organization needs to join for realizing potential advocacy partnerships at the national, regional and global levels
- Maintain relationships and communication with key Gender professional associations or persons regarding Women Empowerment issues within the operational area.
Event Management Support
- This role involves planning and managing events of varying sizes and purposes either online or offline.
- This includes physical and virtual events. Project officer volunteers has to understand what it takes to make sure the logistics work out, keep everything within the allocated budget and ensure that the event itself is carried out smoothly.
Here are the most essential duties and responsibilities:
- Provide administrative support to the program team in the organization of events, meetings and workshops, seminars, conferences etc.
- Establishing and maintaining relationships with vendors and venues
- Planning event details and aspects, including seating, dining and guest
- Creating reliable financial reports and collecting payments on time
- Remaining under budget with all cost
- Managing events and addressing potential problems that may arise
- Planning for potential scenarios that could impact the integrity of the event
- Maintaining a working knowledge of the complex needs of a wide variety of event
Knowledge and Experience
- Minimum university degree (or equivalent) to bachelor’s degree in Public Administration,
- Business, Economics, and/or Entrepreneurship or related field is an asset
- 2 years’ experience gained in project coordination
- Some experience in women’s economic empowerment
- Technical competencies (Knowledge, skills and abilities)
- Knowledge of women leadership and issues of women’s empowerment and girl child
- Be passionate about the advancement of women and girl children.
- Must be keen to dedicate your time and efforts towards active gender equality and leadership transformation activism
- Understanding of networking and building partnerships with a range of individuals and organizations in the same field of work
- Good communication and writing abilities in English with the ability to produce clearly written reports
- Good research skills
- Experience in donor-funded project and events coordination
- Ability to use information and communication technology as a tool and resources
- Ability to work independently and sometimes in “virtual” teams
Good MS-Office computer skills including data capture - Behavioral competencies (Personal Characteristics)
