The Procurement Assistant supports the Ministry of Convoy of Hope (COH) by working under the leadership of the Finance and Administrative Coordinator. The role involves controlling and validating the purchases needed to guarantee programmatic activities in the quantities and deadlines established, with the necessary quality levels and at the best price allowed by the market. The assistant also carries out administrative acquisitions.
Required Knowledge, Skills, and Abilities
To qualify for the Procurement Assistant position, candidates must meet the following requirements:
- Bachelor’s degree in Procurement and Supply Chain Management from a recognized institution.
- At least 3 years of experience in similar positions.
- Fluent in English language at a technical level.
- Ability to use Mac/PC software programs, including but not limited to Gmail, Microsoft Word,
- PowerPoint, and Excel.
- Excellent organizational and time management skills.
- Exceptional communication and negotiation skills, service vocation, customer orientation, and proactivity.
- Integrity and confidentiality.
- Knowledge of the environment of Non-Governmental Organizations.
- High respect for institutional property, protecting and caring for it as if it were your own.
- Ability to multitask and handle job deadlines.
- Excellent interpersonal skills and ability to work as part of an integrated team.
- Be a member with an active role in a local Christian church.
- Ability to positively represent the Convoy of Hope Ministry, including its mission statement and core values, to all outside constituencies.

Essential Duties and Responsibilities
As a Purchasing Officer, the Procurement Assistant will:
- Review, compare, analyze, and request approval from the Program Officers for products and services to be purchased.
- Ensure that approved purchases are profitable and of high quality.
- Follow and enforce the organization’s procurement policies and procedures.
- Manage inventories and keep accurate records of purchases and prices.
- Maintain and update supplier information, such as qualifications, delivery times, and product ranges.
- Create files and request necessary information from new suppliers.
- Maintain good relationships with suppliers and negotiate prices and contracts.
- Execute the purchases required by the programs.
- Carry out purchases of office supplies.
- Research and evaluate potential suppliers.
Prepare purchase budgets, cost analysis, and reports.
