Job Title: Secretary
Location: Dar es Salaam, Tanzania
Reports To: Executive Director
Job Summary:
The firm is currently seeking a professional, detail-oriented, and discreet individual to assume the role of Secretary for the Directors. The ideal candidate will possess a strong command of office procedures, excellent communication skills, multitasking skills, and high levels of professionalism, discretion and attention to detail. Prior experience working with or within government organizations will be considered a significant asset.
Key Duties and Responsibilities:
- Manage daily administrative and clerical duties, including scheduling meetings, managing calendars, and coordinating travel arrangements.
- Prepare, draft, and edit correspondences, reports, and official documents with a high degree of accuracy and clarity.
- Serve as the initial point of contact for internal and external communications; managing incoming and outgoing correspondences in a timely and professional manner.
- Maintain and organize physical and digital filing systems, ensuring confidentiality and compliance with internal policies.
- Assist in the preparation and submission of reports and documentation to clients and government authorities.
- Liaise with government bodies and other external stakeholders ensuring compliance with relevant procedures and documentation standards.
- Provide administrative support by coordinating and handling logistics for internal and external meetings, preparation of agendas, accurate recording of minutes, distribution of minutes and materials, and follow ups.
- Monitor office supplies inventory and place orders as needed.
- Provide general support to staff as needed.
Qualifications and skills:
- High school diploma required; post-secondary education in business administration, secretarial studies, or related field would be an asset.
- Minimum one (1) year of proven experience in a secretarial, administrative, or executive assistant role(s), preferably within a professional or corporate environment.
- Prior experience working with or within government organizations is a strong asset.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and general office equipment.
- Excellent verbal and written communication skills in both English and Swahili and the ability to engage effectively with a variety of clients and stakeholders.
- Demonstrated ability to manage multiple tasks and priorities efficiently while maintaining accuracy and attention to detail.
- Strong organization and time management skills.
- Proven discretion in handling confidential and sensitive information.
- Ability to work in a fast-paced work environment.
- Proactive and solution-oriented individuals are preferred.
