Job Summary:
The Office Secretary will play a key role in ensuring the smooth operation of ARCD’s
administrative functions. This position involves providing substantive support to the office team, managing communications, organizing files, scheduling meetings, and assisting with day-to-day operations to support ARCD’s mission of community development and humanitarian relief.
Key Responsibilities:
- Manage incoming and outgoing correspondence (letters, phone calls).
- Maintain organized filing systems (physical and digital).
- Prepare and format documents, reports, and presentations.
- Schedule and coordinate meetings, appointments, and travel arrangements.
- Ensure office supplies are stocked, and equipment is maintained.
- Liaise with vendors, service providers, and other external contacts.
- Support logistics for events, workshops, and training.
- Serve as the first point of contact for visitors and callers.
- Draft and distribute internal communications and memos.
- Assist in data entry and database management.
Qualifications:
- Degree in Secretarial Studies, Business Administration, or related field.
- Proven 2 years of experience in a similar administrative or secretarial role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher and Outlook).
- Excellent written and verbal communication skills.
- Strong organizational and multitasking abilities.
- Ages from 20 to 35 years old, and women will be given special Priority.
- Commitment to ARCD’s mission and values.
Preferred Skills:
- Experience working with NGOs or community development organizations.
- Knowledge of office management systems and procedures.
