Job Summary:
As a Management Assistant, you will organize and coordinate the work for three Managing Directors at Tanzania company. This role will allow you to expand your international network and thrive as a true team player.
Job description
- Managing the agenda of the Managing Directors.
- Organizing meetings and regularly checking MDs calendar for any overlap meeting.
- Coordinating visitors’ programs with the respective stakeholders in and out of Tanzania.
- Scheduling appointments with external stakeholders.
- Receiving, recording, responding to and filing incoming and outgoing letters.
- Proofreading, referencing and formatting outgoing letters before MD’s signature.
- Following up on MDs on important tasks and deadlines such as compliance reports and meetings.
- Share yearly public holiday calendar with international management assistants and block them in the MD calendars.
- Providing visitors (international colleagues) schedule on a quarterly basis.
- Taking care of the (inter)national travel arrangements for the Board in collaboration with the
- Administration department in accordance with the travel policy.
- Confirming and updating MDs guest information through InTravel database.
- Supporting SSA activities in sharing travel programs for the breeding and commercial team in collaboration with the Administration department. Be involved in travel reports.
- Assisting in preparing (intern)national travel by making sure that all the necessary information and documentation is available for further handling by the Administration department.
- Supporting events concerning the Administration department like the (inter)national field days, Sabasaba and Nanenane.
Requirements
- A completed secretarial training (Diploma) or a bachelor’s degree of Public Administration or Communication.
- At least 7 years of relevant working experience
- Good command of the Swahili and English language, both spoken and written.
- Good computer literacy (MS Office, Excel, PowerPoint)
- High ethical standards
- Capable of handling sensitive and confidential information
- Reliable, honest, and trustworthy
- Ability to work under pressure and meet deadlines.
- Excellent time management skills
- Strong attention to detail
