PROJECT DESCRIPTION
Tanager is implementing a technical assistance program with a focus on gender mainstreaming and nutrition integration. The Impacting Gender and Nutrition through Innovative Technical Exchange in Agriculture plus (IGNITE+) mechanism is a five-year investment implemented by Tanager to improve household nutrition and women’s empowerment by strengthening African institutions’ ability to integrate nutrition and gender into their way of doing business and their agriculture interventions. IGNITE+ works with African Agriculture Institutions (AAIs) to design, implement, and evaluate nutrition-sensitive and gender-integrated agriculture interventions. IGNITE+ will also strengthen the ability of African institutions to incorporate nutrition and gender equality into their policy priorities and business practices—their way of doing business. Based on the interventions implemented by IGNITE+ clients, IGNITE+ will identify key mechanisms and drivers of demand for the scale up and replication of nutrition-sensitive and gender-integrated interventions. Lastly, IGNITE+ will cultivate and strengthen a network of local service providers (LSPs) for sustainable gender and nutrition impact at scale. IGNITE+ activities will be targeted in Burkina Faso, Ethiopia, Kenya, Nigeria, and Tanzania. Current project clients include NGOs, private sector companies, and government bodies working in agriculture.
POSITION SUMMARY
Tanager is seeking to recruit an Accountant to be responsible for the day-to-day accounting tasks for all Tanager Kenya activities including but not limited to the responsibilities outlined below. The position will be based in Nairobi and reports to the Finance and Administration Manager (FAM)
ESSENTIAL DUTIES AND RESPONSIBILITIES
Lead project and office related accounting functions to ensure effective and efficient delivery of activities and services while maintaining utmost confidentiality (70%)
Accounting
Prepare and file accounting vouchers (receipt, payment and journal vouchers) and ensure that all supporting documentation is attached as per Tanager policies.
Scan all support documentation, label and upload on SharePoint by 10th of every month.
Prepare payments requests to ensure accuracy of numbers, accounting codes and completeness of information.
Build capacity of staff to prepare liquidations & advances and verify that every release of funds is backed-up by supporting documents (e.g. SOW, trip report, receipts) and has been authorized.
Record journal entries in the QuickBooks accounting system and ensure that all financial transactions are properly coded per the Tanager chart of Accounts.
Prepare and submit monthly expense reports accurately and in a timely manner.
Prepare schedules and file statutory deductions with the relevant regulatory bodies for timely payments.
Lead assets verification, maintain records for assets and ensure they are reconciled with the general ledger.
Audit and compliance
Coordinate the annual statutory audit by availing files and tagging support documentation and be the point of contact to provide responses during annual audit.
Work closely with non-finance team members to grow their understanding of finance and accounting and how their work affects project finances.
Participate in selection committee for procurements to provide financial analysis.
Coordinate with the FAM to continuously update Tanager Templates with correct accounting codes, job codes and currency and ensure that staff always have and use updated templates.
Support FAM to ensure Tanager’s financial compliance with Kenyan Law, Tanager’s Policies & Donor requirements.
Payroll
Verify approved timesheets collected in terms of time allocation to the various clients, signature approvals and completeness. Follow up and ensure timesheets are submitted by all staff on the 24th monthly.
Prepare monthly staff payroll and other Tanager discretionary benefits for local employees, including calculating, withholding and recording all applicable income taxes and other statutory social obligations based on Kenyan tax laws and regulations.
Support the FAM and HR Director in maintaining all employees’ files [new and existing staff] with all relevant up to date information, both soft and hard copies.
Coordinate staff exit processes by computing final payments (Salary, Severance, leave and 13th month).
Cashflow management
Liaise with the operations and administration team to prepare monthly advance requests for funds from HQ.
Collaborate with the technical team members to understand timing and details of activities to facilitate and be pro-active about upcoming expenses to support timely budgeting.
Support FAM in the project financial analysis (30%)
Support FAM in budget preparation, forecasting, and internal realignments.
Co-relate the workplan and budget processes to better understand project activities and their impact on budgets as you analyze and update budget vs actual analysis report on a monthly basis.
Supporting the FAM in the review of project status reports and providing an analysis to the FAM and Team Leader for any queries the team will have for the HQ finance team.
Notify the FAM and Team Leader and/or Tanager management in writing about any concerns, risks or misuse of resources and report any illegitimate expenses, misuse of funds or other false financial claims.
Perform other duties as assigned by the supervisor.
QUALIFICATIONS
Bachelor’s degree in accounting or related field
CPA Part 4 /ACCA Level 2 and above or equivalent certification
3 – 5 years of relevant work experience in project finance and accounting and preferably in the NGO sector.
Excellent knowledge of accounting standards, government of Kenya tax laws and regulations and experience with different donors to ensure compliance
Good administrative and organizational skills; record keeping and filling systems.
Good problem solver, self-starter and innovative, good communication, leadership and reporting skills
A strong command on Excel, QuickBooks and other relevant accounting applications
Excellent critical thinking skills and sound judgment. Proven ability to make timely and sound decisions based on accurate judgment.
Excellent and proactive oral and written communications skills.
Advanced computer skills in a Windows based environment including Word, Outlook, PowerPoint, and SharePoint
Accuracy, attention to detail.
Professional proficiency in English required. French is an added advantage
Prior experience working on a busy accounting environment
