Job Description
We are seeking a dynamic and professional Administration Assistant & Receptionist to manage front-desk operations and provide administrative support at our client’s dental clinic. This dual role is vital in ensuring excellent patient service and smooth day-to-day clinic operations. The ideal candidate will be the first point of contact for patients, while also handling key administrative tasks to support the dental team.
Key Responsibilities:
Front Desk & Patient Interaction:
- Greet patients warmly and professionally as they arrive at the clinic.
- Manage appointment scheduling, confirmations, cancellations, and reminders.
- Handle incoming calls and respond to inquiries about clinic services and appointment availability.
- Guide patients through registration, intake forms, and insurance verification.
- Maintain a clean, organized, and welcoming reception area.
Administrative Duties:
- Maintain accurate patient records both digitally and in physical files.
- Assist with billing, invoicing, and processing of insurance claims and payments.
- Monitor and manage clinic supplies, equipment inventory, and order replenishment.
- Prepare daily, weekly, and monthly administrative reports as required.
- Coordinate internal communications and support clinic staff scheduling.

Requirements
Knowledge and Experience
- Diploma in Business Administration, Office Management, or a related field; healthcare or dental administration is a plus.
- Proven experience in a receptionist or administrative role, preferably in a healthcare or dental setting.
- Strong computer skills and experience with clinic management or scheduling software.
- Excellent communication, interpersonal, and organizational skills.
- Ability to multitask, work independently, and maintain confidentiality and professionalism.
