We are looking for an office administrator for a startup mining company who has extensive knowledge and experience in administrative skills. With proficient knowledge of how to oversee the administrative duties in an office and work in close proximity with the manager in dealing with the organization. As an Office Administrator, you will be responsible for managing various administrative tasks, including bank handling, money management, and overseeing all office requirements. The ideal candidate should possess strong organizational skills, attention to detail, and the ability to handle multiple responsibilities in a fast-paced environment. This role is crucial in ensuring the smooth functioning of our office operations and supporting the overall success of our company.
RESPONSIBILITIES AND DUTIES.
- Manage daily financial transactions, including deposits, withdrawals, and bank reconciliations.
- Maintain accurate records of all financial transactions and update financial spreadsheets or databases as needed.
- Prepare and process invoices, expense reports, and other financial documents.
- Assist in budgeting and monitoring expenses to ensure adherence to financial goals.
- Oversee and maintain office supplies and equipment, ensuring inventory is adequately stocked.
- Coordinate office maintenance and repairs, liaising with external vendors as necessary.
- Manage office communication systems, including phone lines, email accounts, and mailing services.
- Organize and schedule meetings, appointments, and travel arrangements for staff members.
- Assist in onboarding new employees and maintaining employee records.
- Provide administrative support to various departments as needed, including data entry, filing, and document management.
- Prepare and distribute internal communications, memos, and reports.
- Collaborate with team members to ensure an efficient flow of information and tasks.
- Foster a positive and productive work environment by promoting effective communication and teamwork.
SKILLS AND QUALIFICATIONS.
- Proven experience as an Office Administrator
- Extensive knowledge and experience in office administration, including bank handling, money management, and overseeing office requirements
- Demonstrated ability to work independently and efficiently without relying on extensive training or supervision
- Excellent organizational and time management skills.
- Strong attention to detail and accuracy in handling financial data.
- Proficient in using office software and applications (e.g., MS Office Suite, spreadsheets, databases).
- Knowledge of basic accounting principles and practices.
- Ability to multitask and prioritize tasks effectively.
- Strong written and verbal communication skills.
- Discretion and confidentiality in handling sensitive information.
- Flexibility to adapt to changing priorities and deadlines.
- Previous experience in the mining industry is a plus.
