Gross Salary: 1,600,000 – 1,800,000 TZS
Job Summary:
The Administrative Assistant, under the supervision of the Regional Finance Manager and management of the Regional Director East/ Horn of Africa DVV International, will be contributing to the day-to-day admin and logistical tasks of the Country Project Accountant, including supporting financial documentation and requests, scanning and filing of vouchers, storekeeping management and procurement of items, venues and consultants as well as project planning and activities.
Responsibilities
Administrative tasks
- Support the function office for admin related matters
- Maintain a store records card
- Ensure security of items in the store and ensure the inventory list is up to date and the items in the office are labelled accordingly
- Ensure security of items in the store
- Attend to office visitors
- Respond to calls on the office telephone
- Preparing correspondences for instance invitation letters, etc
- Check usage and management of office kitchen and sanitation items
- Contribute to a well organised filing system
- Keep record of incoming and outgoing mail
- Contribute that the Permanent File is up to date according to Marili
- Support in the procurement process of item, venues and equipment in line with Tanzanian national procurement regulations.
Finance
- Support financial clearance of partner and staff
- Assist in the preparation and documentation of payments
- Support the preparation of budgets for project activities
- Contribute to the budget planning of project activities
- Scanning and filing of vouchers
- Support maintaining financial files, and archives in line with the Management Guidelines of the organisation.
- Assist in the preparation and implementation of audits
- Assist the Country Project Accountant and Regional Finance Manager where necessary
Project
- Support the planning and preparation of workshops, trainings, conferences
- Assist in the documentation of project activities
- Establish and manage the digital project filing system
Education and Qualifications
- Advance diploma / University degree (Bachelor) in Business Administration/Accountancy from a reputable university
Requirements
- At least 4 years’ experience working in a similar position with INGOs in a development-related field
- Experience with administrative, accounting and reporting procedures of INGOs
- Experience in office procedures and regulations
- Excellent computer literacy, strong working knowledge of Microsoft Office
- Good knowledge of computerized accounting software
- Profound knowledge and understanding of Tanzanian bureaucratic, tax and admin related structures and regulations
- Fluent in Kiswahili and English
