Role Summary
The Operations Account Support Officer provides critical coordination and support across Operations, Commercial, and Finance functions. The role focuses on financial coordination, data auditing, operational support, and cross-functional alignment to ensure accurate reporting, smooth workflows, and uninterrupted service delivery to clients.
Accountabilities & Responsibility Areas
1. Financial & Administrative Coordination
- Liaise with the Finance team to ensure all completed jobs are accurately captured and invoiced on time.
- Track job completion status, billing readiness, and internal updates to support effective revenue assurance.
- Maintain oversight of administrative workflows to ensure visibility and operational efficiency (without direct responsibility for document preparation or issuance).
2. Data Auditing
- Conduct regular audits of client dashboards to ensure accuracy, relevance, and completeness of data.
- Validate that operational results align with information presented on client-facing dashboards.
- Review updates made by the Operations Account Manager to ensure accuracy, completeness, and compliance with internal standards.
3. Operational & Commercial Support
- Shadow the Operations Account Manager to learn core operational processes, including daily planning, journey management, escalation protocols, and client coordination.
- Provide basic operational coverage during the Operations Account Manager’s absence to ensure continuity of service delivery.
- Collaborate with the Commercial Account Manager on routine client management activities and follow-ups.
- Develop a strong understanding of commercial structures, pricing models, client expectations, and account-specific requirements.
- Serve as a secondary point of contact for clients on routine operational matters as required.
4. Cross-Functional Collaboration
- Act as a coordination link between Operations, Commercial, and Finance teams.
- Support smooth handovers, consistent execution, accurate reporting, and aligned communication across departments.
Education, Skills & Qualifications
- Bachelor’s degree in a related field (Freight Forwarding, Logistics, or equivalent).
- Knowledge of cargo clearance procedures under different regulatory regimes in Tanzania.
- Proficiency in Microsoft Office and/or Google Workspace tools.
- Strong attention to detail, analytical ability, and coordination skills.
- Ability to work collaboratively across multiple functions in a fast-paced environment.
