Job Description
To manage the corporate financial information system at Zonal Office and ensure compliance and internal controls are adhered to in the procurement and payment process.
The role supports the Zonal office to maintain accurate financial records, processing transactions and enhance compliance with donor and organizational financial policies. Plays a key role in day-to-day accounting operations, contribute to financial reporting, and help uphold transparency and accountability in the management of project and operational funds.
Responsibilities
General Accounting
- Assist with accounts payable and accounts receivable processes, including invoice processing, payment processing, and reconciliation.
- Record daily financial transactions in accounting software or ledgers and maintain accurate records of financial transactions, including journal entries, ledgers, and bank statements and up to date financial records
- Prepare and verify financial documents, such as invoices, receipts, and expense reports.
- Assist with actualisation and documentation of payroll costs and accurate fair allocation of shared costs to projects.
- Monitor and reconcile bank accounts, and other financial accounts.
- Assist with financial reporting and analysis, including variance analysis and budget tracking.
- Respond to inquiries from vendors, customers, and internal stakeholders regarding financial matters.
- Assist with month-end and year-end closing processes, including preparing financial statements and reports.
- Collaborate with other departments to ensure accurate and timely financial information.
- Perform other accounting and administrative tasks as assigned.
Cash and budget management
- Prepare and process payment vouchers and invoices, and support timely payment of suppliers, contractors, and staff as per Service level Agreement
- Monitor bank balances and prepare cash projections for weekly cash transfers
- Disbursement of petty cash fund as per approved petty cash request
- Jointly responsible for safe which is the custody for cheque books, signed cheques not collected and other sensitive items
- Ensure timely processing and disbursement of payments to legitimate suppliers.
- Monitor bank and Petty cash transactions on monthly basis
- Manage staff advances and up-to date staff advance register
- Receive and issue receipts for refunds from staff, Partners and others
- Prepare and File Payment and Journal vouchers and other financial documents to their appropriate files, both physical and Digital platform’s.
Financial reporting
- Manage general ledger accounting system
- Prepare monthly financial statements including Bank reconciliation, staff and community advances, reconcile these statements and records with General Ledger and ensure any identified issues are resolved on time.
- Assist in preparation and coordination of audit activities at the Programme Unit and ensure the availability of any audit document needed.
- Participate in year-end process and assist in preparation of year end reports
Internal Financial Controls enhancement
- Ensure adherence to financial policies, controls, processes and procedures, donor guidelines.
- Follow up on audit requirements and flag irregularities or potential compliance issues.
- Gather documentation and assist in internal and external audits and maintain orderly and accessible financial records for auditing purposes.
Grant Compliance, Budget and Reporting
- Work closely with Senior zonal accountant to ensure all grants projects are following donor regulations at all times
- Participate on donor budgeting and budgeting as required
- Ensure timely and quality reports are prepared as per donor requirements
- Support donor audits reviews
- Working with the team and ensure Projects results are achieved timely without compromising with quality
- Plan and schedule own work, interpreting instructions and selecting appropriate methods/tools for delivery.
Field Support Visit
- Support in training of Partners in financial and record maintenance as and when required.
- Verification of direct benefits distribution to communities
Knowledge and Experience
- Bachelor`s degree in Accounting, Finance, Accounting and Finance or related fields
- Intermediate professional qualification recognised by NBAA/ ACCA
In-depth knowledge of the Finance and accounting preferably in Non-profit making organisation - At least 3 years’ experience of the finance and accounting preferably in Non-profit making organisation and grants funded projects
- Analytical and problems-solving skills
- Excellent communication skills appropriate to the audience
- Proficient Computer skills and use of relevant accounting packages
- Ability to work under harsh condition
- Ability to work under multidisciplinary and multicultural environment
- Good English language skills (oral /written)
